The Red Alert Workflow

More about what Workflow does...

A rapid reaction team

This module supports the activities of a cross-departmental team of workers at Wiltshire County Council.

The need for a high profile, efficient team to deal with the consequences of exclusion, failure to educate or other cases of extreme urgency and importance was identified - and it was called the Red Alert Panel.

The Red Alert Panel meets frequently. It develops action plans for dealing with individual cases, monitors progress and generally does a lot of work!

It is cross departmental - involving representatives from pupil departments and social services.

Agendas and Minutes

All the children dealt with are on the Red Alert Panel module - which monitors their course through the process put together by the panel.

Agendas for these meetings are drawn up automatically using this database.

Actions are handed out to individuals - and these actions appear on the Actions Manager - a to-do list integrated with PIMS.

Minutes are drawn up automatically - as the decisions of the meeting are directly input onto the database.

These minutes are circulated automatically to interested parties using meeting attendance logs and action points. Each person with an action receives an email detailing their actions.

Email integration means that the process of sending these emails is a single click of the mouse! Twenty people might receive a different email, each related to their area of interest. This saves a lot of time.

Reporting back on Action Points is done using the Actions Manager - and these reports back automatically appear in the next agenda.

Red Alert - in summary
  • Cases are referred for various reasons - all they have in common is urgency
  • The system produces agendas for the panel meetings, and emails them out to all parties
  • Actions at these meetings can be logged
  • Users can type the results on their actions directly onto the system
  • These results are automatically included in the next minutes or agenda email
  • An automatically generated history is compiled by the system.
